Administrative Assistant
Summary
The Administrative Assistant assists with industry business practices; aligning program administration, logistics, marketing, account management and regulatory compliance into tactical daily operations.
Essential Functions*

- Serve as the liaison and point of contact between vendors, prospects, and clients
- Oversee client and vendor scheduling coordination
- Report writing
- Data entry
- Completing weekly schedules for multiple details using a shared roster of 130+ employees
- Assisting management with administrative tasks involving payroll, invoicing and client-based projects

Supervisory Responsibility This position has no supervisory responsibilities.
Work Environment - Remote
This role routinely uses standard office equipment such as computers, telephones, scanners, copiers, filing cabinets and fax machines.
Physical Demands
While performing the duties of this job, the employee is regularly required to talk and hear. This position requires the ability to occasionally lift office products and supplies, up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Position Type/Expected Hours of Work
This position is a non-Exempt position, as determined by the Fair Labor Standards Act. Please note that you may be required to take calls after work hours when needed.
Regular full-time working hours equate to 40 hours each week. Exact schedule will be determined between employee and manager. Please note you will be required to take calls after hours, as needed.
Travel
This position does not require routine travel, however travel may be needed on an as needed basis. Preferred residency in Southeast Florida.
Education and Experience

- An associate’s degree or bachelor’s degree from an accredited school is preferred
- Three (3) to five (5) years of experience in an Administrative environment is preferred
- Familiar with the WinTeam software platform
- Experienced shift scheduler with experience managing a 100+ roster of employees
- Excellent written and verbal communication skills
- Self-motivated employee that works well in a team environment
