We are seeking self-starting, passionate Operations Coordinator to join our busy Operations team.

 

We’re looking for a candidate who will be able to offer exceptional administrative support and coordination, with a keen eye for detail to act as the link between our Warehouse and Sales teams.

 

The successful candidate will be friendly, confident and an effective communicator and will work as part of a team at our premises in Aylesbury.

 

Primary Responsibilities

  • Act as the link between the Sales department and the Warehouse team daily to ensure prompt receipt of orders ready to prep.
  • Review all orders to ensure they contain the correct information including pick dates, valid PO number and the appropriate insurance certification is in place.
  • Once reviewed, distribute orders to the correct warehouse department for processing.
  • Review departure dates for warehouse crewing support, carnet and preplanning purposes.
  • Oversee kit collection and returns.  Ensuring delivery drivers are greeted and directed to the appropriate collection/drop off point and that the correct paperwork is completed.
  • Work with goods out and the project managers to ensure tour labels and additional kit labels are completed as required, depending on the job.
  • Closely monitor cross hire and owned kit returns and advise the Sales team of orders that are late returning.
  • Manage the cross hire process after the orders have been placed.  This includes overseeing delivery of items, separation of items in the warehouse, ensuring timely collections of items on their return (with assistance from the Logistics Team on transport) and communicating with the sales and logistics departments to ensure the process runs smoothly.
  • Manage all incoming parcels and deliveries, recording as per procedures and notifying the recipient in good time.  Manage parcel returns as required. 
  • Manage our Harlow and Blackburn location deliveries and collections to and from Aylesbury (with assistance from the Logistics Team on transport)
  • Answering, screening and forwarding incoming calls.
  • Provide general administration support to the Warehouse department, ensuring all paperwork is filed in an orderly and timely fashion.
  • Assist and support the Warehouse Manager with their general duties, covering aspects of these duties during periods of absence.

 

Working hours

 

Full time, 8.30am – 5.30pm Monday to Friday with the ability to facilitate overtime during busy periods

 

Qualifications and pre-requisites

  • Computer  literacy and good working knowledge of Microsoft Office, specifically Excel
  • A good eye for detail
  • Strong numeracy skills
  • Excellent written and verbal communication skills
  • The ability to multitask and work with accuracy
  • Great organisational and time management skills
  • Client focused with an understanding of client needs
  • The ability to facilitate overtime if required during busy periods
  • A great team player!
  • Experience working in an administrative coordination role is essential.
