Job Title: Patient Access Specialist – Novant Health

General Summary:
As a Patient Access Specialist at Novant Health, your primary responsibility is to deliver an exceptional patient experience at every interaction. You will contribute to our mission by providing outstanding service to patients and families, embodying our values of respect, compassion, inclusion, and empowerment. Utilizing Novant Health’s First Do No Harm (NHFDNH) principles, you will play a key role in ensuring patient safety and a remarkable healthcare experience.

Essential Job Responsibilities:

  • Patient Experience: Create a welcoming environment by engaging with patients and families, addressing their needs, and ensuring they feel valued and respected.
  • Registration Functions: Manage registration processes across multiple entry points, including the Emergency Department, Outpatient Imaging, and Outpatient Surgery, ensuring accurate collection of patient demographic and financial information.
  • Pre-Registration & Verification: Conduct pre-registration and verification activities, gathering necessary information to ensure smooth and efficient patient flow.
  • Insurance Coordination: Identify sources of payment, interface with insurers, and collect payments, ensuring compliance with federal and state regulations and Joint Commission requirements.
  • Cross-Training: Participate in cross-training for various administrative support functions, enhancing your versatility and ability to assist in multiple areas.
  • Compliance: Maintain up-to-date knowledge of regulatory compliance guidelines, ensuring all documentation meets standards.
  • Fast-Paced Environment: Thrive in a dynamic and sometimes stressful environment, demonstrating flexibility to work various shifts, including weekends.

Qualifications:

Education:

  • High school diploma or GED required.

Experience:

  • Minimum one year of experience in patient access, registration, billing, insurance, or pre-certification in a medical setting preferred.
  • One year of customer service experience in any field preferred.
  • One year of clerical experience in a medical office setting preferred; related experience may be considered.

Licensure/Certification:

  • No specific licensure required.

Additional Skills/Requirements:

  • Strong knowledge of insurance plans, registration processes, and compliance with regulatory standards.
  • Excellent interpersonal and communication skills, with proven customer relations expertise.
  • Ability to organize and prioritize tasks effectively in a fast-paced environment.
  • Comfort with diverse populations and varying levels of authority.
  • Maintains confidentiality and works effectively both independently and as part of a team.
  • Basic understanding of medical terminology, which can be acquired through formal education or work experience.
  • Proficient in computer skills, including patient registration systems.

Essential Functions:

  • Accurate Data Capture: Collect and enter accurate patient information through various methods, ensuring all data is complete and entered into the patient management system.
  • Customer Service: Coordinate with insurance verification teams to secure necessary authorizations prior to appointments and assist patients with billing inquiries.
  • Financial Duties: Prepare estimates for patient responsibilities and collect payments as required, ensuring financial transparency and compliance with policies.
  • Quality Improvement: Participate in departmental meetings and training sessions to enhance skills and contribute to continuous quality improvement efforts.
  • Communication: Foster effective communication within the team and with patients, sharing insights and feedback to improve processes and patient satisfaction.

Physical Demand Requirements:

  • Ability to perform tasks that may involve standing, walking, and occasional lifting as needed to assist patients.
