Job Title: Accounts Payable Specialist

Job Summary:
The Accounts Payable Specialist will be responsible for accounts payable, expense reports and credit card transactions for several geosciences companies – Seas Geosciences, LLC, our newest start-up, and DME Systems Ltd, our latest acquisition. Other UK-based companies may be folded into the Accounts Payable Specialist’s area of responsibility over time. The Accounts Payable Specialist must be a self-starter, highly organized, detail oriented and able to manage their workload and priorities independently in a fast-paced and changing environment. 

Duties/Responsibilities:
•    Audit and process expense reports, ensuring appropriate general ledger coding, including verifying receipts as well as contract and policy compliance
•    Train employees/contractors on expense reporting and Pcard reconcilement
•    Receive and review accounts payable invoices for accuracy and completeness
•    Prepare, maintain, verify, and process accounts payable invoices
•    Manage the invoice approval process
•    Accurately code invoices to the appropriate subsidiary and general ledger account 
•    Initiate and manage vendor payments via check, ACH or wire payment
•    Manage positive pay uploads for check issuances and review of any exceptions
•    Manage accounts payable period closing, including communicating with accountants about accruals
•    Prepare AP adjustment entries as needed
•    Process and upload monthly company credit card transactions into accounting systems
•    Reconcile monthly purchase card receipts to bank summary, including auditing receipts for VAT
•    Monthly VAT reporting(?)
•    Reconcile vendor statements and resolve discrepancies
•    Perform data entry and spreadsheet management
•    Maintain vendor and accounts payable files and records
•    Respond to vendor issues and internal customer questions in a professional and timely manner
•    Perform other tasks as needed
•    Performs other duties as assigned.

Required Skills/Abilities: 
•    Knowledge of basic accounting principles and VAT requirements
•    Able to build and work with basic Excel spreadsheets
•    Familiarity with Dynamics 365 and related tools preferred.
•    Ability to work independently, multi-task and handle competing priorities.
•    Strong attention to detail and strong organizational skills.
•    Ability to meet deadlines on a timely basis.
•    Clear and effective written and verbal communication and strong interpersonal skills.
•    Special attention to those who are self-motivated with a sense of urgency, have a hands-on 
mentality, and approach work with a ‘no job is too small’ attitude.

Education and Experience:
•    Five years’ experience processing accounts payable.
•    Experience in marine construction or offshore geotechnical industry preferred.

Pay range is $12-15 GBP per hour, based on experience level.

Work Environment: 
Ideally this position is based in the South Shields/Newcastle area of the UK. Depending upon the location of the successful candidate, the position may be an in-office, hybrid or remote role.
