Mill Administrative Assistant
Mill Admin Tech
Eastover’s Mill Admin Tech supports approximately 650+ employees at the Eastover mill. This “hands-on” position requires significant interaction and visibility to all levels of the organization, departments, and all shifts in a manufacturing environment. This position reports directly to the Mill Manager.
Additional responsibilities include supporting other members of the mill Lead Team, office administration, administrative support of manufacturing excellence/lean manufacturing, administrative support of communications and community activities, coordination of mill record retention, working with a third party administrator to coordinate mill salary continuance/FMLA processes while ensuring a positive team member experience, etc.

Required Minimum Qualifications Include:
- Demonstrated experience in positions that required:
- project management skills for site manager
- integrity and administration of highly confidential information
- planning skills that incorporate potential problem avoidance
- ability to apply good judgement to situations that fall outside policy and procedure guidance
- excellent organizational, time management and prioritizing skills
- impartial administration of mill processes across areas and team members
- Excellent communication and interpersonal skills:
- strong writing skills for professional business and mill communications for site manager
- ability to communicate with and build relationships with a broad array of people
- easily keeps lots of people highly informed and up to the minute
- positively interact with leadership at all levels
- professional phone communications to positively represent Eastover to those both internal and external to IP
- backup Mill Communicator when needed; write and proof site manager communications, support VIP visits, support maintenance of lobby bulletin boards
- Excellent organizational skills
- use Outlook to support site manager and other Lead Team member scheduling
- pay invoices and support expense reporting for site manager
- organize caterings and events for site manager (i.e., employee, visitor, community, etc.)
- coordinate office mail and mill-wide mailings for site manager
- maintain office and supply room materials (i.e., printer, office supplies, catering items, snacks, visitor safety PPE and gifts, etc.)
- maintain and communicate annual mill schedule
- track and communicate recognition milestones for site manager
- Demonstrated use of computer and office tools for trending, analysis and reporting:
- strong computer experience using Microsoft Office; Excel, Word, PowerPoint, Access and Outlook
- track, organize, analyze and report data for leaders to make key people decisions
- set-up and maintain audio visual equipment for meetings, communications, presentations for site manager
- maintain office printers and copiers
- Demonstrated conscientious work ethic:
- work as needed outside normal work hours
- High School diploma/GED
Preferred Qualifications Include:
5+ years Office Administration experience:

- advanced executive admin experience for a large business location, reporting directly to the site manager
- project management work for a site manager
- serve as a gatekeeper to manage interfaces and scheduling with a site manager
- serving as a primary interface between a large business location and leaders of external organizations and the community
- administration of employee leave processes through a third party administrator (i.e., FMLA, sick leave/salary continuation, etc.); interpret and answer inquires related to leave policies and procedures, and counsel and educate team members while ensuring consistency and reinforcing adherence as appropriate; use time and attendance system to verify work schedules, administer the mill leave process and ensure team members are correctly paid
- maintenance of record retention requirements based on Records Retention Compliance for a large business location
- Relevant post high school education; degree, certification or training (ex: Office Administration, business communications, computer skills (i.e., Microsoft Office, basic SAP/Success Factors) FMLA, etc.
